Comparison

Formala vs Intercom

Intercom is a support desk. People work a shared inbox, Fin answers what it can on its own, and everything else routes, escalates and gets reported on. Formala is an AI receptionist for a small business website: it answers the visitor, books the appointment and writes up who was asking. Those are different products that happen to share a corner of the screen. The honest short version is that if you employ support staff and run a queue, you should buy Intercom, and most of this page is about the case where you do not.

One person, two hundred conversations, one month

Take the smallest realistic Intercom account: one seat, paid monthly because you are not committing to a year on week one, and two hundred conversations that Fin handles. That is $39 for the seat, billed monthly, plus $198 for 200 Fin resolutions at Fin's floor rate, which is $237 for the month.

The same two hundred conversations on Formala Growth is $39 a month, billed monthly, and that figure does not move with how many of them the AI answers.

This is the smallest version of the comparison, not the worst one. Fin's rate is a floor, the seat count is one, and none of the add-ons above are switched on. Add a second person and the seat line doubles while the Formala line does not.

Where Intercom is better

  • Rules that reach your other systems

Intercom's rules and macros can reply, retag, reassign AND fire a webhook or open a ticket somewhere else. Formala's read a conversation the same way -- the channel, the words the visitor used, whether they are returning, the time of day -- and can assign it, set its category and priority, steer what the assistant says or fetch a person outright. A saved reply can set the state and reassign as it sends. What none of them can do is reach outside Formala. If your support has to wake an on-call rota or open a row in another system, that is a real reason to stay.

  • Ten years of the details

Workload balancing, conversation ratings sliced twelve ways, a mobile SDK. Formala has a first-reply target that can stop counting outside the hours you set, and it does not pretend the shallower version of the rest is the same thing.

  • Outbound, history and mobile

Conversations attach to a customer record and stay there, campaigns and product tours go out on behavior, and there are native iOS and Android SDKs. Formala only speaks when spoken to, apart from follow-ups after a chat.

  • Fin is good at what it is for

On high-volume repetitive support with a large body of documentation behind it, Fin resolves a lot without a person. That is what it was built to do and it does it.

  • Uploads, and the compliance paperwork

A hundred megabytes an attachment with no quantity cap beats our ten. And if a security questionnaire is coming, Intercom's audit and compliance posture can answer it.

Where Formala is better

  • There is a free plan at all, and it does not expire

Intercom has no free tier: a fortnight to evaluate a product that takes longer than a fortnight to set up, and then a paid seat or nothing. Formala answers 10 conversations a month for nothing, permanently, with no card, and the allowance returns on the first. Booking and direct messages are on that plan too, so what you are trying is the product rather than a demonstration of it.

  • You can say what next month costs

This is the whole argument and the worked example above is the proof. Formala's price is the price, whether the AI answers ten conversations or two hundred. Intercom's bill is a seat rate plus a usage rate on the part you control least, which is how often your customers need help. Reviewers name unpredictable cost as one of the two things they complain about most, and it is not a billing quirk: charging per resolution means the better your marketing works, the more your support tool costs, which is a strange incentive to sign up to.

  • It does not multiply by headcount

Every person you add to Intercom is another full seat: $29 per seat a month, billed annually, or $39 per seat a month, billed monthly. Formala charges for the account, so from Growth upward the second person working those leads costs nothing, and so does the third. Two people on Formala Growth is $39 a month, billed monthly for the account rather than $39 a month, billed monthly a head. For a business of four where two answer the phone, that gap compounds every month forever.

  • It is built to book the job, not to close the ticket

Fin is measured on resolutions, because deflecting a support question is the value it sells. A plumber does not want the question deflected. They want Thursday at ten in the calendar and a phone number to call if the van is late. Formala offers real free times from your Google or Outlook calendar inside the conversation, writes the appointment back, and hands you the lead written up. That is a different objective, and it is the one a small business is actually paying for.

  • There is nothing to build, and nobody to own it

Intercom's workflow builder is powerful and it expects somebody whose job includes maintaining it. Formala is one line of script and the answers come from what you already wrote on your own site. Nothing to configure on the way in, and nothing to keep configured six months later.

  • You can start without talking to anybody

10 conversations a month, permanently, with no card. Intercom has no free tier at all: a fortnight to evaluate a product that takes longer than a fortnight to set up, and then a paid seat or nothing.

Who should pick which

Pick Intercom if

You have support staff, a queue, and customers who expect a searchable help center. Or you are already on Intercom and Fin resolves enough to earn its resolution fees. Or you are an early stage startup who can get the first year at ninety-three percent off, which changes this comparison completely for twelve months.

Pick Formala if

You are a small business whose site is asked the same eight questions all day, and whose actual problem is that nobody answers at nine at night. You want the appointment booked into the calendar you already keep, the lead written up, and a number you can budget for before the month starts rather than an invoice that reflects how busy you were.

What reviewers say

Two themes dominate. The first is cost: reviewers describe pricing that is hard to predict and invoices that arrive larger than expected. The second, and the single largest theme at roughly 117 reviews, is Fin answering confidently with something wrong and carrying on without registering that the customer is unhappy. The workflow builder also draws consistent criticism for rigidity, with no webhook triggers and no parallel branches.

Questions

For one person and a couple of hundred conversations a month, yes, by a wide margin: about $237 against $39, because Fin is charged per resolution on top of the seat. The gap closes if you need what Intercom does and Formala does not have, from a rule that fires a webhook or opens a ticket in another system, to outbound campaigns and mobile SDKs.
